Who controls your data

Rotary Club of Coimbatore Manchester is responsible for the personal data collected through this platform. Reach us at rotarycbemanchester@gmail.com or 9994472344 with any question or request about your data.

What we collect

Account details you give us: name, email address, phone number, date of birth, address, city, state and country, and optionally your profession, photography club and Instagram handle. Contest data: the photographs you submit and their titles, descriptions, capture location and camera model. Payment records: amount, status and the reference issued by our payment provider. If you sign in with Google we receive your name, email address and profile picture from Google.

What we do not collect

We never see or store your card number, CVV or UPI PIN — those go directly to our payment provider. We do not use advertising trackers or sell your data to anyone.

Why we use it

To create and secure your account, to take entry fees and issue receipts, to run blind judging, to contact you about your entries and results, to publish winning and shortlisted images with credit, and to meet our accounting and legal obligations.

Notifications you receive

We send transactional messages by email and WhatsApp: your one-time verification code, payment confirmation, entry confirmation and result announcements. These are part of running the contest rather than marketing. Reply STOP to a WhatsApp message to opt out of that channel, though we will still need to email you about your entries.

Who processes your data

Razorpay processes payments. Microsoft Azure hosts our servers and stores submitted images. ZeptoMail sends our email and AskEva sends our WhatsApp messages. Google handles authentication if you choose to sign in with Google. Each acts under its own terms and processes only what it needs.

Where your data is held

Our database and image storage are hosted on Microsoft Azure infrastructure. Some of our providers operate servers outside India, which means your data may be processed abroad under those providers’ own safeguards.

How long we keep it

Account and entry records are kept while your account is active and afterwards where we need them for the contest archive or for accounting and tax obligations. Payment records are retained as long as the law requires. Winning and exhibited images may remain in the public contest archive indefinitely, with credit.

Your choices

You can view and correct your profile details from your dashboard at any time. Write to us to request a copy of your data, ask us to correct or delete it, or withdraw consent for promotional use of your images. We will respond within 30 days. Some data must be retained where the law requires it or where deletion would compromise the integrity of a concluded contest.

Security

Passwords are stored hashed, never in plain text. Access to the platform is over HTTPS, administrative access is restricted, and login attempts are rate limited. No system is perfectly secure, so please use a strong, unique password and tell us at once if you suspect a problem with your account.

Cookies and local storage

We store a sign-in token in your browser so you stay logged in, and we remember which sign-in method you last used. These are needed for the site to work. We do not use analytics or advertising cookies.

Children

The contest is open to entrants aged 18 and over, and the platform is not intended for children. If you believe a child has given us personal data, contact us and we will delete it.

Changes to this policy

We may update this policy. The date at the top of this page shows when it last changed, and we will notify registered entrants by email about material changes.
